The Alberta Standardbred Horse Association (“ASHA”) collects uses and discloses personal information of its members. The collection and use of personal information is essential to maintaining records that are vital to ASHA. Due to the nature of the industry, the involvement of different regulatory bodies and the aspect of wagering, it is also necessary that information regarding the breeding, ownership and racing of standardbred horses be accessible and exchanged with other industry organizations that have a legitimate interest in the industry. This exchange of information may contain personal information of ASHA members. Therefore, persons who are members of ASHA are deemed to have consented to the collection, use and disclosure of their personal information by ASHA. It is the policy of ASHA to preserve the confidentiality of personal information, except where use and disclosure of that information is reasonably necessary for the fulfillment of its mandate.

ASHA may collect, use and disclose personal information about you for purposes related to ASHA’s objectives and mandate, which include but are not limited to the following:
  • Creating a record of our membership and licensees
  • Exchanging information with third parties which may include but are not limited to Horse Racing Alberta, Standardbred Canada, the United States Trotting Association, provincial and state racing commissions (or their equivalent), horsemen’s associations, racetracks and racing officials
  • Creating, updating and maintaining stakes race eligibility payments and records for Standardbred horses and, for that purpose, exchanging information with other Standardbred breed associations throughout the world
  • Creating, updating and maintaining records and statistics regarding the racing of Standardbred horses and, for that purpose, exchanging information with other horse racing organizations throughout the world
  • Providing access to records and statistics regarding the breeding and racing of Standardbred horses to persons or businesses with an interest in that information, with or without charging a fee
  • Ensuring members’ compliance with the by-laws and regulations of ASHA, including the rules of standardbred racing
  • Meeting legal and regulatory requirements
  • Investigating and assisting in the resolution of insurance claims
ASHA often receives inquiries from members and other interested parties, including commercial parties who wish to provide goods and services, for contact information about its members, including names, addresses and telephone numbers. Where such inquiries are not directly related to ASHA’s mandate or do not fall within one of the purposes set out above, ASHA members are entitled to control the disclosure of their personal information. Before disclosing personal information in these instances, ASHA requires the express consent of its members. The ASHA membership application form provides check off blocks to permit or refuse the disclosure of personal information in this regard. Subject to obtaining your consent, we may use and disclose your personal information to persons who have an interest in providing products or services to you. If you give your consent, you may, on reasonable written notice to ASHA, revoke that consent thereafter.

ASHA may retain your personal information in our records for as long as it is necessary and reasonable for the purposes mentioned above, even if you cease to be a member.

If any of your personal information held by ASHA is no longer accurate, you must provide written notice to ASHA and ASHA will make all reasonable efforts to correct the personal information it has about you. You may in writing, request the particulars of your personal information contained in ASHA’s records.
